    MEMBER ADVISORY STATUS UPDATE 01-11-21: all previously scheduled chapter events through March 31st, 2021 are hereby canceled with the exception of virtual monthly chapter board meetings. Our chapter board of directors will be  reviewing the VA Governor’s executive orders on a monthly basis as they pertain to COVID-19. Note: All members and guests must continue to follow appropriate social distancing while using our park facilities.

2020 Year End Committee Reports

For 2020, a consolidated year-end report for all chapter committees is presented below.  Members, if you are interested in helping out and/or participating in any of these committees in 2021, we encourage you to reach out to the respective committee chair(s) using the contact information posted under menu >Members>Committees. Also, you can put a name with a face at our password-protected Membership photo gallery under menu >Members>Members-Only.

Going forward, in 2021, at each chapter monthly board meeting, the board of directors will review the VA governor’s executive orders regarding COVID-19 and decide whether to go forward with, or to cancel selected upcoming events/activities as shown on our 2021 chapter calendar, to ensure the safety of our members and guests and to be in compliance with those executive orders.


Chapter Committee Accomplishments in 2020

ADOPT-A-ROAD COMMITTEE: All scheduled events were canceled due to COVID-19.


ARCHERY COMMITTEE: All scheduled events were canceled due to COVID-19.


AUDIT COMMITTEE: An internal audit was conducted of the bookkeeping records for the chapter as is done every year.


AWARDS COMMITTEE: Our chapter made a Tobin Award (virtual presentation) in September of 2020 to Chapter Ike Jonathan Echols using ZOOM software.


BUDGET COMMITTEE:  The budget for 2021 was presented and accepted by the board of directors at the December, 2020 chapter board meeting.


CONSERVATION ISSUES COMMITTEE: Members of our chapter assisted Suffolk’s SCCC (Clean Community Council) Litter Department with a Tire Amnesty Recycling event held on November 21st, 2020, collecting/stacking over 750+ truck tires to be recycled. COOKING/FACILITIES SETUP COMMITTEE: 2 chapter dinner meetings were held (in January and February of 2020). For the February meeting a members’ chili cookoff competition was held.


ELECTIONS/NOMINATIONS COMMITTEE: All scheduled events were canceled due to COVID-19.  All officers and board members agreed to extend their terms info 2021 due to the inability to hold elections in 2020.  Provisions are being assessed to be able to hold electronic elections in 2021 should COVID-19 preclude our ability once again to hold elections at a regular chapter monthly meeting.


ENVIRONMENTAL EDUCATION COMMITTEE: Articles were submitted on a periodic basis for inclusion in monthly newsletters.


FUND RAISING COMMITTEE: All scheduled events were canceled due to COVID-19.


GRANTS COMMITTEE: In 2020, grant requests were submitted to the Department of Conservation and Resources (DCR) for partial reimbursement of engineering expenses incurred regarding continuation of our chapter park dam operating permit.


HISTORIAN/SPEAKER ENGAGEMENT COMMITTEE: All scheduled events were canceled due to COVID-19.


LRPC COMMITTEE: The LRPC (Long Range Planning Committee meeting) met on December 2nd, 2020.


MARKETING COMMITTEE: All scheduled events were canceled due to COVID-19.


MEMBERSHIP COMMITTEE:

Membership Numbers

In November 2020, 108 membership renewal notices were sent to the S-N IWLA Chapter membership. There are 36 Family memberships and 72 Individual memberships. Including family members, our chapter has 188 Ikes. One membership did not renew in 2020. There were two new memberships joining our chapter in 2020.

We had 63 persons express an interest to join our chapter in 2020. Of these, two were accepted and sworn in as members by the Board of Directors (BOD) prior to the Covid restrictions, eight were sworn in as members on December 7, 2020 and 14 received BOD approval on December 7, 2020 and are waiting to be sworn in. There are 39 prospective members seeking membership as of December 31, 2020.

Changes in 2020

The BOD approved a $20 increase in Chapter Membership dues for 2021. In addition, the Virginia Division of the IWLA increased Family memberships by $2.50. The Membership dues for the S-N IWLA chapter for individual memberships were $85 in 2020 and are now $105. Our chapter dues for family memberships were $110 in 2020 and are now $132.50.

Because of the pandemic caused by Covid-19 the BOD requested Membership to identify a way for prospective members to join the S-N IWLA Chapter without the need to attend two chapter dinner meetings. The S-N IWLA hosted two dinner meetings this year in January and February of 2020.

Membership proposed and the BOD approved hosting an orientation class for prospective members to attend with Three Board members presenting a 2-hour class. There is a 13-page slide presentation with a guided tour of the park and a question and answer session so our prospective members and Board members can become acquainted. A prospective member must list three committees on their application for which they would consider serving. One of these committee chairs is then asked to contact the prospective member to become acquainted and to answer any questions the prospective member may have. Membership presents the application, notes from the orientation and an email summary from the committee chair to the BOD for consideration. Each prospective member is required to pay a fee of $25 for individual and $30 for family for a background and sex offender registry check of the adult applicants. PreSearch Background Services performs this service. One additional change made to our chapter was charging a $150 initiation fee upon joining.  This initiation fee was imposed due to the increased use of park facilities requiring increasing maintenance, costs associated with  recertification of our park dam and the continuing increase in the costs associated with the operation of the chapter.  New members are able to enjoy the facilities that have been built by current and previous members.

There were six orientation classes offered to include one during the week and five Saturdays. These were conducted with a 9 person limit, social distancing and facial masks to follow the Virginia Governor’s orders. Feedback from the prospective members and the Board members conducting these orientation sessions has been very positive for all participants and we will continue scheduling such sessions in 2021 as there is a need.

Because of Covid-19 restrictions, the BOD set aside the requirement for all members to provide 8-hours of service to the chapter per the Membership Participation Policy. The BOD did direct Membership to carry any hours provided by a member in 2020 into the 2021 year so the member would receive credit.


MEDIA/MEDIA OUTREACH/PUBLIC RELATIONS COMMITTEES: All scheduled events were canceled due to COVID-19.


NEWSLETTER/WEBMASTER COMMITTEES: 12 monthly issues of the Chapter newsletter were published in 2020.  Website updates were applied frequently, and security was enhanced with the installation of an HTTPS: encryption certificate.


OUTDOOR ETHICS COMMITTEE: All scheduled events were canceled due to COVID-19.


PANCAKE SUPPER COMMITTEE: All scheduled events were canceled due to COVID-19.


PARK MAINTENANCE COMMITTEE: A chapter park maintenance workday was held in September of 2020. Approximately 25 chapter IKES showed up with chain saws, rakes, shovels, mowers, weed whackers, etc. to trim our dam of vegetation mow grass, cut up fallen trees, fill potholes, etc.  Social distancing and face masks were employed in compliance with the VA Governor’s executive orders.


PARK RESERVATIONS COMMITTEE: Chapter park reservations were accepted throughout all of 2020 and tracked on our chapter calendar of events, with a requirement for members/guests to practice social distancing and wear face masks as required in compliance with the VA Governor’s executive orders.  A sign-in sheet at the park entrance mailbox provided an audit trail of all individual entering and leaving our park throughout all of 2020.


SAVE OUR STREAMS/CLEAN WATER LIAISION COMMITTEES: All scheduled events were canceled due to COVID-19.


SCHOLARSHIP COMMITTEE:

For 2020, there were seven (7) applicants altogether. In May of 2020 our chapter awarded two $1,000 college scholarships (each) to Suffolk resident Jack Van Straten and Chesapeake resident Sydnie Matkins, respectively. See https://sniwla.org/sniwla/2020-scholarship-awards/ for more information. For 2021, we are awarding one scholarship in the amount of $1,000.

SCOUTS LIAISION COMMITTEE: Our chapter approved an EAGLE SCOUT PROJECT (BIRD BLIND viewing station) resulting in the construction of this structure on our chapter park property in June of 2020 with social distancing and facial masks.

SHOOTING SPORTS COORDINATOR: All scheduled events were canceled due to COVID-19. Much-needed maintenance work was completed at the range in the Fall of 2020 to improve access to the range, involving grading and spreading gravel along a walking path, and digging out drainage ditches and installing drainage pipes to reduce erosion.  These maintenance tasks were spearheaded by V.P. Darden Langston.


SUSTAINABILITY COMMITTEE: Two (2) regular chapter monthly meetings and twelve (12) monthly chapter board meetings were held throughout 2020 using a combination of physical and virtual meetings, with appropriate social distancing, face masks, as required to comply with the VA governor’s executive orders.  For those months where we could not hold monthly members meetings, a combination of monthly newsletters and members-only e-blasts were used to keep all members engaged/informed of authorized guidelines for proper social distancing, and wearing of face masks, at the chapter park while using the facilities, as required to comply with the VA governor’s executive orders.


YOUTH COORDINATOR: All scheduled events were canceled due to COVID-19.
